Who we are
CareerEdu Co-Pilot is operated by Career and Educational Services Limited, company number 13378106, registered office 1st Floor, North Westgate House, Harlow, Essex CM20 1YS. We are the data controller for the personal data described below.
What data we collect
Your email address, profile details you give us (nationality, study goals, grades, etc.), documents you submit for AI feedback (statements of purpose, CVs), application tracker entries, and basic usage/audit logs.
Why we use it (lawful bases)
Contract — to provide the service you sign up for. Legitimate interests — to keep the service secure and working correctly. Consent — for optional Scholarship Radar alerts (you confirm by email and can unsubscribe in one click).
Who we share it with (processors)
Cloudflare (hosting, database and Workers AI used to generate feedback), Stripe (card payments and subscriptions — the CV Builder's one-off PDF unlock and the Scholarship/Job Updates subscriptions; you can cancel a subscription any time through Stripe's customer portal, linked from Account), Resend (delivering sign-in, Scholarship Radar and daily update emails), and Paystack (only if you choose the local naira option, once that payment rail goes live). We do not sell your data.
Using CareerEdu Co-Pilot from outside the UK
CareerEdu Co-Pilot is open to students in any country. We are a UK company and handle your personal data under UK data protection law (UK GDPR and the Data Protection Act 2018), wherever you use the service from. Our providers may process data outside the UK; where they do, we rely on safeguards recognised under UK law.
AI and your documents
Your documents are sent to an AI model to generate feedback. We do not use your documents to train AI models.
Scholarship Radar
If you subscribe to Scholarship Radar we store your email address, the preferences you pick (level, field, destinations, funding type and, if you give it, your nationality), the consent wording and when you agreed, and, only if you opt in, your WhatsApp number. You can subscribe without an account. We don't send WhatsApp messages yet and will ask again before the first one. Each email has a one-click unsubscribe link, and you can delete your Radar data at any time from the link in any digest or from Account. Unconfirmed sign-ups are deleted after 7 days and unsubscribed records after 30 days.
CV Builder
You can build and preview a CV without an account; while you do, your draft is kept only in your browser's local storage on that device. When you sign in, your CVs and cover letters are saved to your account so you can edit and re-download them. If you upload or paste an existing CV to import it, we read the file once to fill in the editor and do not keep the file. When you use the AI writing help, the text you send is processed by Cloudflare Workers AI to produce suggestions and is not used to train models. PDFs are generated on request and not stored. Card payments are handled by Stripe; we never see your card details and keep only the order record (amount, status, Stripe reference). You can delete a CV from "My CVs", clear drafts from a device with "Delete data on this device", and deleting your account removes all of your CVs and CV orders.
How long we keep data
Account data is kept until you delete your account. Magic link tokens expire after 15 minutes. Radar email confirmation links expire after 48 hours. Audit logs are kept for 12 months.
Your rights
You can access, export or delete your data at any time from Account. You can also complain to the UK Information Commissioner's Office (ICO) at ico.org.uk if you're unhappy with how we handle your data.
